About the Role

We are looking for a highly driven professional to join our team. As Office Manager, you will provide the Bearing Tree team and our partner organizations with critical backend support that empowers everyone to do their best work. You are organized, detail-oriented, outgoing, and personable. You are passionate about the work of our partner organizations and are committed to doing everything you can to help them be successful.

Responsibilities

Office Management

  • Manage front reception desk responsibilities, including office security, guest management and greeting.
  • Manage various office management duties including, but not limited to, Skedda and workspace management, answering phone calls, greeting visitors, managing deliveries and shipments, sorting mail, managing faxes, and handling facilities issues.
  • Arrange conference room and staff meeting logistics including room set up and Zoom and technology set up.
  • Coordinate and place catering or lunch orders for meetings and events as needed, ensuring timely delivery and setup.
  • Regularly restock office supplies for Chicago office, kitchen, and conference room.
  • Place equipment and supply orders requested by department managers.
  • Maintain supplies inventories including Bearing Tree Partner supplies (paper, envelopes, cards, stamps, etc. stock)
  • Act as primary liaison with building management and contract service providers.
  • Plan and execute semi-annual staff training retreats and assists in other events planning as needed.
  • Represent the organization with integrity and respect, particularly when interacting with external individuals.

Development

  • Open and scan all development-related mail to Development and Operations Manager for caging
  • Manage and execute partner mailing projects

Compliance / Operations

  • Assist Compliance Manager with state charitable registrations and other filings
  • Assist Human Resources Manager with new hire onboarding tasks including computer procurement
  • Facilitate in-office onboarding for Chicago-based staff

This full-time position is based in our Chicago office.

The ideal candidate will have:

  • Ability to work and be present in our Chicago office during our Monday – Friday business hours (8:30am – 5:00pm)
  • Minimum 2-3 years’ experience in an office management or related role, preferably in a non-profit setting
  • Strong interpersonal and customer service skills
  • Strong organizational skills
  • Proficiency with Microsoft Office, especially Excel
  • Salesforce NPSP experience is preferred, though not required
  • Experience working with third-party vendors and clients
  • Event and/or project management experience preferred
  • Excellent problem-solving skills
  • Strong written/verbal communication skills
  • Proactive, but flexible and adaptable, mindset
  • A dependable and friendly demeanor
  • Ability to set priorities and follow through
  • Commitment to free markets, and individual liberty and responsibility as key solutions to our communities’ and nations toughest problems

Salary

Commensurate with experience. Compensation package includes health (company-paid medical), flexible vacation, and sick days.
